Optimizing Payment Collection and Tracking: A Case Study of a Not-for-Profit Center

ABSTRACT

This study aims to improve payment collection and tracking at not for profit center through enhancing the overall efficiency and effectiveness of the center's operations. It employs a cross-sectional study that examines and tests the center's billing workflow. Data were collected from the center staff and systems evaluations. It identifies deficiencies and risks in the fee collection and tracking processes from January 22, 2024, to May 28, 2024. Based on the research findings, the center leadership initiated a purchase request for a credit card machine to facilitate immediate payment collection at the point of service. The training for interns on the new system is scheduled for the beginning of the fall 2024, with the payment system serving as a pilot for a potential system-wide rollout. Implementing the payment system is expected to reduce wasted time and effort in the billing and fee collection process, aligning with Lean Six Sigma principles. The adoption of this technology will increase productivity, enhance accuracy, and improve billing value. This study highlights the lack of integration in financial and operational data systems, leading to manual consolidated reporting and credibility issues. Concerns about potential payment issues were raised among staff. Future solutions should prioritize HIPAA compliance, user-friendliness, and the integration of multiple payment devices to address employee shortages.
